EXECUTIVE ASSISTANT - FOUNDATION
Newport Beach, CA

PRIMARY DUTIES AND RESPONSIBILITIES

The Executive Assistant provides administrative assistance and other related duties on behalf of our **MEMBERS ONLY**SIGN UP NOW*** Foundation and Senior Vice President, Development Operations and Finance .  Coordinates the flow of information, maintains outlook calendars, contact information and acts as a conduit for information. Is responsible for screening information and directing flow of information to appropriate personnel. Provides project support as needed. Independently executes varied complex administration and project coordination duties, frequently of a highly confidential nature.   Is responsible to compile data, prepare reports and organize projects. Reviews and maintains reports as assigned. Is responsible for scheduling meetings, notifying participants of changes in location or times, documenting minutes and distribution of minutes as assigned.  May require participation in meetings and donor events outside of normal business hours including occasional evenings and/or weekends. Ensures the smooth functioning of daily activities, including department budget management. Projects an image of professionalism in communication, appearance and conduct.

May perform administrative activities for internal and external meetings. This role may have direct and frequent contact with donors and board members. This role may have direct and frequent contact with Board members. Performs other duties as assigned.

EDUCATION AND EXPERIENCE

*High School Graduate or equivalent required *Advanced knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, plus healthcare database systems required *Bachelor's degree in healthcare-related field preferred *Minimum 4 - 7 years' experience required *Four (4)  years' executive administrative support experience
