Introduction:

The Knowledge Management Department at Ogletree Deakins, a premier labor and employment law firm, is seeking an experienced Project Coordinator to join their team in Greenville, South Carolina. This position offers an exciting opportunity to support key strategic initiatives and assist in the day-to-day operations of the KM team. The successful candidate will have a proven ability to coordinate projects, excellent computer skills, and exceptional communication and customer service skills.

Job Description:

The Project Coordinator will assist the Program & Delivery Senior Manager and the Manager(s) in coordinating project activities and supporting the KM team's day-to-day operations. This includes tracking and updating project status reports, managing project expenses, and assisting in the development of the annual portfolio budget. The Coordinator will also provide support by coordinating meetings, developing presentations, and maintaining and updating documents and standard operating procedures. There is also potential for the Coordinator to manage projects as development opportunities arise.

Responsibilities:

• Coordinate and support projects by scheduling meetings, preparing materials, maintaining project plans, and participating in user acceptance testing.
• Research potential vendors based on project requirements.
• Manage project expenses and invoices using proper coding to ensure projects stay within budget.
• Input and maintain contracts using contract management software.
• Coordinate training for the team and maintain training resources.
• Perform routine data entry and update administrative calendars, lists, spreadsheets, and databases.
• Coordinate meetings, both internally and externally.
• Order materials for department events and projects.
• Reconcile firm credit cards for KM leaders.
• Manage software requests.
• Assist in travel planning.
• Maintain staffing list and org. chart.
• Add team members to relevant distribution lists and Teams sites.
• Create surveys.

Requirements:

• Bachelor's degree or Associate's degree with 1-2 years of experience in coordination and administration of operational projects.
• Proven ability to create accurate, timely, and visually appealing reports.
• Proficient in Microsoft applications, including Word, Excel, PowerPoint, Outlook, Teams, and Document Management Systems.
• Proficiency with Smartsheet and other Project Management applications is a plus.
• Exceptional computer skills with the ability to quickly learn new software applications.
• Excellent customer service skills with a positive attitude.
• Strong interpersonal skills and the ability to communicate professionally and effectively.
• Time management skills to meet critical deadlines.
• Ability to remain calm under pressure.
• Ability to work independently and collaboratively.
• Strong verbal and written communication skills.
• Ability to follow instructions and take initiative.
• Attention to detail and ability to complete assignments accurately.
