Legal Administrative Assistant

Responsibilities:

Document preparation and editing:
- Prepare and revise legal documents, correspondence, and other materials as directed by supervising attorney(s), paralegals or other staff.
- Format, proofread, and edit documents for accuracy, grammar, punctuation, and spelling.

File management:
- Maintain and organize electronic and hard copy files, including scanning, copying, and filing documents.
- Retrieve and review files to ensure information is up to date and complete.
- Create and maintain client files with all relevant documents and correspondence.
- Ensure all files are closed and archived properly.

Court filings:
- Prepare and file court documents, including e-filings, in a timely and accurate manner.
- Coordinate with attorneys and paralegals to gather necessary information and documents for filings.
- Monitor and track deadlines for filings and ensure they are met.

Calendar management:
- Maintain calendars for attorneys, scheduling appointments, meetings, and court appearances.
- Coordinate and confirm appointments with clients, courts, and other parties.
- Monitor deadlines and assist attorneys in managing their schedules.

Client communication:
- Communicate with clients in a professional and effective manner, both in person and via phone/email.
- Provide timely updates to clients on the status of their case.
- Ensure all client communication is documented and filed appropriately.

Other support tasks:
- Perform general office duties, such as answering phones, greeting clients, and maintaining office supplies.
- Coordinate and schedule travel arrangements for attorneys.
- Assist with billing and invoicing tasks.
- Handle confidential and sensitive information with discretion.
