Law Firm Scheduling Assistant - Naples, Florida

As a Scheduling Assistant, you will play a crucial role in the pre-litigation process of cases, working closely with our Paralegals. Responsibilities:

- Make initial call to client after signing to obtain relevant information to open their file
- Accept inbound calls and place outbound calls to clients as needed
- Request coverage follow up to the coverage team
- Transfer case to Case Manager’s once file opened
- Create new files and enter pertinent information into case management software
- Enter new roles in the system
- Request police reports
- Mail Hipaa form to the clients.
- Email client welcome packet to the client or mail if no email on file
- Document all activity in the system
- Add all insurance information and police report numbers into the file
- Request all documents from the client needed for their file
- Upload necessary documents to the client’s file

Qualifications:

- High school diploma or GED is required; college preferred
- Excellent communication skills, both verbal and written
- Ability to adapt to an ever-changing environment and handle multiple priorities
- Outgoing personality with excellent oral communication skills
- Strong ability to multitask and learn quickly
- Team player with a reliable and dependable work ethic
- Excellent comprehension and critical-thinking skills
- Typing speed of at least 35 WPM with strong writing skills and ability to navigate multiple software applications
