Parsippany, NJ Job Title: Legal Administrative Assistant Location: Parsippany, New Jersey Law Firm: Kelley Drye & Warren LLP Experience: Minimum 5 years of administrative experience Salary: Competitive and commensurate with experience Job Description: Kelley Drye & Warren LLP, a top law firm with a boutique approach, is currently seeking an experienced Legal Administrative Assistant for its Parsippany, New Jersey office. This in-office position requires a detail-oriented individual with strong technical and organizational skills, along with excellent communication abilities and a strong work ethic. The ideal candidate will also have a passion for the legal profession, a willingness to learn about specific clients and their needs, and a team-oriented mindset. Key Responsibilities: - Coordinate all aspects of client billing, including reviewing and editing pre-bills, ensuring billing arrangements are applied correctly, verifying final bills, and responding to client inquiries. - Enter disbursements into the firm's system and work with the accounts payable department to ensure proper application. - Review and research incoming correspondence and statements from vendors. - Input time entries and manage calendar for attorneys. - Prepare new matter memos, conduct conflict searches, and draft engagement letters. - Assist with client communications. Requirements: - Minimum of 5 years of administrative experience, with a focus on client billing. Candidates with more experience are encouraged to apply. - Proficiency in MS Office (Outlook, Word, and Excel). - Familiarity with CMS/Aderant, Elite accounting systems, Chrome River, and NetDocs preferred. Willingness to become an expert in these programs with training provided by the firm. - High level of accuracy, critical thinking, and ability to multitask and meet deadlines.
