Client Account Coordinator
Waukesha, WI

Job Summary:

The law firm of **MEMBERS ONLY**SIGN UP NOW*** is seeking a Client Account Coordinator with at least two years of professional services experience or a two-year degree. This role will be responsible for managing the collection process for all clients within the Intellectual Property Practice Group. The position is available in our Chicago, IL or Milwaukee, Madison, or Waukesha, WI office.

Job Responsibilities:

- Serve as the point of contact for collections for the Intellectual Property Practice Group
- Regularly review outstanding A/R and follow up with responsible partners or assistants
- Maintain partner preferences and update firm databases
- Monitor E-billing systems and report as needed
- Perform reconciliations in excel for high impact clients
- Communicate with Practice Group Manager and IP attorneys to discuss outstanding balances
- Utilize BillBlast E-billing software to track status and troubleshoot rejections
- Work directly with clients to ensure payment on open invoices
- Proactively perform tasks to facilitate collection
- Document the status of clients with aged A/R balances
- Evaluate likelihood of collection and make recommendations for write-offs or referrals
- Work with all areas of Finance & Accounting to resolve inquiries and errors
- Maintain confidentiality and discretion
- Manage multiple priorities and deadlines
- Additional duties and special projects as needed

Job Requirements:

- Minimum of two-year degree or equivalent professional services experience
- Experience with Excel, Outlook, and other Microsoft Applications
- Strong organizational skills and attention to detail
- Knowledge of 3E - Enterprise Business Management or Aderant software (preferred)
- Familiarity with electronic time and billing software (preferred)
- Ability to work independently and in a team
- Able to work well under pressure and meet tight deadlines
- Willingness to learn and adapt to changing needs and practices
- Excellent interpersonal and communication skills
- Ability to handle confidential information with tact and discretion
- Problem-solving skills and ability to make decisions and take action
- Professionalism and client-oriented mentality
- Valid authorization to work in the U.S.
