IP Docketing Systems Specialist - Law Firm

OVERVIEW: Law Firm, a global law firm with 800 attorneys in offices across the U.S. and around the world, offers innovative solutions to the legal and business challenges presented by today’s evolving global markets.

SUMMARY: Maintains the docketing database and related systems as well as providing docketing support to various teams within the Intellectual Property Practice Group.

Essential Functions:
• Assists with the creation and maintenance of documentation for all processes involving IP systems updates and maintenance
• Assists IP Docketing Systems Administrator with docketing system updates and upgrades
• Assists IP Docketing Systems Administrator and IP Docketing Supervisor with intakes and transfers, ensuring successful importation or exportation of data
• Assists with the creation, maintenance, and deactivation of all user accounts in docketing database, the firm’s USPTO deposit account, and PAIR
• Generates statistical reports within docketing database as requested by management
• Calendars dates in connection with patent and trademark application filings, formalities, office actions, maintenance fees
• Downloads electronic correspondence or scans incoming mail from USPTO, foreign patent offices, or foreign agents and files into document management system
• Circulates incoming correspondence from USPTO, foreign patent offices, or foreign agents to appropriate attorney teams
• Prepares firm-standard and custom docket reports for attorney-teams
• Manages department page on firm intranet
• Proactively monitors due dates to ensure deadlines are timely met
• Reviews outstanding dates in docketing database, consult with supervisor, and advance or de-docket as instructed
• Participate in IP practice group and docketing team meetings
• Provide back-up support to other docketers as needed

Preferred Qualifications:
• High school diploma
• At least 5 years of experience working with docketing databases
• Thorough understanding of domestic and foreign patent and trademark prosecution and lifecycles (Nonprovisional, Provisional, PCT, Madrid Protocol)
• Familiarity with various patent and trademark offices (USPTO, WIPO)
• Knowledge of docketing terminology, best practices, and patent & trademark laws
• Ability to independently determine priority dates, calculate due dates, and verify terms within IP management software
• Experience working with electronic filing systems and navigating patent office databases such as EFS-Web, Public PAIR, Private PAIR, TEAS, TSDR
• Strong computer skills with the ability to manipulate and analyze data; experience with SQL and Blue Horse preferred
• Demonstrated attention to detail, time management skills, problem-solving mindset
