## Office Administrator at Wilson Elser

Wilson Elser is a full-service and leading defense litigation law firm, with more than 1,000 attorneys and 42 offices across the United States and one office in London. The firm is looking for an Office Administrator to oversee their Portland, OR and Seattle, WA offices.

The Office Administrator will be responsible for managing in-house and outsourced services, facilities planning, HR functions, accounting & billing processes, secretarial services, reception and conference planning, outsourced mail, messengers and legal records services, and budget planning and management.

### Qualifications

Successful applicants will have:

- 5 years of law firm administration and/or management experience
- Bachelor's degree from an accredited college or university preferred
- Excellent management skills with prior direct supervisory responsibilities
- Ability to manage staff effectively, including leading and developing a positive and cohesive team environment across multiple locations
- Ability to work in a fast-paced environment and adapt to changes
- Ability to work with all levels of professional staff, attorneys, and leadership
- Excellent written and oral communication skills
- Detail-oriented and organized with the ability to multi-task
- Basic knowledge of budgeting and accounting

### Responsibilities

The Office Administrator will be responsible for:

- Collaborating with firm departments and senior leadership to ensure firm programs and procedures are effectively and efficiently implemented within the office
- Ensuring the ongoing productivity and effectiveness of our professional staff team
- Managing office workload in conjunction with utilization of the firm's administrative support services
- Initiating new employee intake, employee status change, and employee departure processes
- Monitoring staff attendance, PTO and other absences from the office, and approval of timecards
- Conducting annual performance evaluations of non-attorney professional staff
- Accounting supervision, including invoicing, check requests, and vendor expense review and processing
- Coordinating general office services with building management and local facilities management services
- Developing and managing office operational budgets
- Providing general IT support in conjunction with firm's IT support desk, as necessary
- Traveling between both offices on a regular basis
- Performing other administrative duties as assigned
