General Description of Position:
The Executive Assistant reports to the Vice Chancellor of Academic Affairs. The position requires independent work efforts with the capability to work under stressful situations; while promoting and maintaining a close working relationship with employees and students as well.
Major Responsibilities:
Provides professional administrative support to the Vice Chancellor for Academic Affairs.
Assists in administration of Office of Academic Affairs functions including maintaining the Banner System by coordinating class input; inputting faculty names for class rosters and evaluation forms; changing class capacities as required; keeping Banner system updated throughout the semester.
Prepare reports for Vice Chancellor regarding class loading faculty schedules etc.
Coordinate projects with each school's assistant(s).
Prepare and track part-time faculty costs.
Maintain advisory committee records and plan annual meetings.
Plan and coordinate full-time and part-time faculty functions.
Prepare routine reports tracking classes.
Schedule routine meetings.
Monitor professional development activities.
Supervise work studies.
Assist students, face-to-face, e-mail and by telephone.
Perform general office responsibilities.
Create correspondence.
Order office supplies, instructor materials, and textbooks.
Manage P-card purchases.
Prepare requisitions, travel, and registrations.
Organize, assist and/or plan College functions, such as advisory meetings, clubs or organization events, or committee meetings.

Minimum Qualifications:
Associate's Degree in Administrative Office Technology or related degree, and two years of office administration experience, or equivalent experience required.
A minimum of two years of relevant professional work experience is preferred.
Demonstrated experience in managing multiple projects required.
Must possess excellent relationship-building skills including working successfully with diverse populations, including (but not limited to) college and school personnel, teachers and prospective students.
Must possess effective communication skills (phone, email, and written) and experience in public speaking. Proficiency with Microsoft Applications (Word, Excel, PowerPoint, and Teams) is required; experience with a Customer Relationship Management tool is preferred.
