General Description of Position:
Responsible for the incoming transfer credit process for the college. Provide assistance for the graduation process, including degree audits and posting degrees. Assist with the technical aspects of registration, e.g., security, enrollment controls, prerequisite screening, repeat rules. Ensure academic records are complete. Assist with processing grades. Assist in producing ad hoc reports. Assist with the development of in-house forms and documents. Assist with the development of a tracking system to manage the functional and technical aspects of degree certification. Provide technical support for students who use automated methods to register by TouchNet or on-line. Convey and apply FERPA laws in the administration of records.
Major Responsibilities:
Assist with the management and oversight of all aspects of the student academic records system
Evaluate transcripts and other academic records, verify credit and make recommendations for granting of degrees and other academic credentials
Provide assistance for the registration process and the Banner Computer student record system
Assist with graduation certification
Assist with the processing of grades
Manage a system for the evaluation and processing of transfer of credit, articulation, and equivalency requests within college rules
Monitor students' academic standards of progress
Assist in the issuing of transcripts
Assist in the training of faculty and staff in use of Banner
Ensure the security of academic data Possess expert knowledge of FERPA Assist in the training of faculty and staff in FERPA Contribute to and support research, policies, and programs that support student success and retention
Assist in the archiving of records through document imaging and/or other processes Collaborate with administrators, deans, chairs, faculty, and others to facilitate and improve service to students
Assist in the management of student records Assist in the maintenance of all student academic and related records
Responsible for recording transfer credit, performing credit evaluations, posting advanced standing placement, and being knowledgeable regarding the integration of College records
Identify former students who have not received degrees and/or certifications and assist the college in re-engaging those students into the higher education system
Assist in the processing of changes of enrollment data, including grade changes, drop/adds, and withdrawals
Maintain and post enrollment records including appropriate microfilming and/or document imaging of permanent records Assist in the preparation of candidates for graduation and certify students for graduation
Assist with the planning and implementation of commencement ceremonies
Provide academic transcripts and enrollment certifications to authorized agencies and College personnel and provide transcript service to students
Assist in the development of procedures for the implementation of the provisions of the Family Educational Rights and Privacy Act and insure that college personnel are aware of and adhere to those policies
Assist in the maintenance of student records and monitor standards of progress
Assist in the preparation and distribution of probation reports to faculty and communicate with students regarding probationary status
Assist in organizing, coordinating and conducting all registration activity, including the on-line student system
Insure that faculty and administration receive current and accurate course registration and class enrollment information

Minimum Qualifications:
Bachelors degree required. Three years of relevant experience, including at least two years of direct leadership experience in registration and/or records. One to two years of supervisory experience.
Preferred Qualifications:
Degree preferably in business, public administration, or data management information systems. A proven record of working successfully with diverse populations, working with a SunGuard Banner system, and Community College knowledge and experience preferred

Work Hours:
Hiring Range:
$45,000 to $48,000 annually with full benefits (based on education and experience)
