General Description of Position:
The Academic Services Support Assistant reports to the Vice Chancellor of Academic Affairs. This position requires independent work efforts while promoting and maintaining a close working relationship with all administrators, faculty, staff, and individuals, inside and outside of Ivy Tech.
Major Responsibilities:
Provides assistance and support for the Vice Chancellor of Academics.
Coordinate all academic and other room scheduling activities for the campus.
Coordinate meeting scheduling for special events on campus with the facilities department.
Coordinate Perkins funding orders and tracking.
Coordinate Professional development requests and tracking.
Manage Academic files.
Perform general office responsibilities.
Use computer software for Word processing and database management.
Create correspondence.
Run and format academic reports in multiple systems
Assist with travel arrangements as needed.
Assist with loading course information including faculty loading.
Assist with course evaluation management
Maintenance and inventory of equipment lists.
Assist students, Face to Face, email, and telephone.

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.
Minimum Qualifications:
Associate's Degree in Administrative Office Technology or related degree, and two years of office administration experience, or equivalent experience required.
A minimum of two years of relevant professional work experience is preferred.
Must be able to pass a background check and be able to work with high school-age students.
Demonstrated experience in managing multiple projects required.
Must possess excellent relationship-building skills including working successfully with diverse populations, including (but not limited to) college and school personnel, teachers, and prospective students.
Must possess practical communication skills (phone, email, and written) and experience in public speaking. Proficiency with Microsoft Applications (Word, Excel, PowerPoint, and Teams) is required; experience with a Customer Relationship Management tool is preferred.
