Office Coordinator - Human Resources
Lafayette, IN Work type: Full Time Hourly Location: Lafayette, IN Categories: Human Resources, Office/Clerical, Other General Description of Position: Provides office administrative support for the Human Resources Department and the college's employment/ recruitment program. Prepares offer materials for full-time new-hires and assists part-time staff and adjunct faculty in completing the employment process including background checks; enters data into Banner. Manages HR Office purchasing and provides general support for HR functions including word processing, spreadsheets, and file management. Collaborates with the Chancellor's Office Coordinator to manage the Chancellor's calendar. Major Responsibilities: RECRUITMENT/EMPLOYMENT Serve as first contact for callers and visitors to the Human Resources Office providing information and directions for service. Utilize the college's HireRight on-line system to process criminal conviction, National Sex offender registry, and employment verification background checks. Assist the Director of Talent Acquisition with coordinating phone and campus interviews, serving on search committees, and conducting candidate reference checks. Works closely with the Chancellor’s Office Coordinator on employee events and managing the Chancellor’s calendar. Serve on the Employee Engagement Committee, Graduation Committee and Non-Instructional Week Committee. Serve on Hiring Committees as needed. Provides office coverage to Chancellor’s Office, Finance and Resource Development periodically as needed. Prepare offer letters for benefits-eligible employees, complete the employment process and establish personnel files. Assist adjunct faculty and part-time staff new-hires in completing the employment process, verifying documents and maintaining materials needed. Enter all new-hire data in Banner HR including general person, biographical, data, IPEDS, faculty rank, education, required benefits, and web services, Enter related changes as needed. Prepare correspondences for annual salary increase letters, equity/other salary adjustments, and Career Pathways Status. Refer most requests for employment verification to the work number. Provide verification of employment from phone, written, and employee requests and maintain verification file when the agency needs the information directly from the college. Maintain faculty credentialing records on file. Contact supervisors for missing original transcripts for part-time staff and adjunct faculty. Upload all faculty and Adjunct Faculty transcripts to Online Faculty Credentialing System. Maintain all employee files and file personnel-related documents including employment documents, performance appraisals, contracts, correspondence, professional development, etc. Maintain other employee records as necessary. Annually purge employee files to maintain current and previous year files in office and move files to archive files. Annually purge archive files and record active-to-archive and purged file information. OFFICE MANAGEMENT Determine supplies needed for the HR Office and staff and utilize ordering system for requisition approvals, Ivy Market for vendors' requisitions, and the college's Purchasing Card. Verify receipt of supplies, determine appropriate funds for charging HR expenses, and process for payments. Maintain HR department expense records. Provide general office support including record-keeping, copying and processing mail. Utilize computing for word processing, spreadsheets, organizational charts and databases for correspondence, reports, forms, etc. including composition. Utilize Outlook and Internet for e-mail and Banner for employee, benefits and salary information. Maintain job procedures manual and review/update as needed. Other duties as assigned. Reports to: Executive Director of Human Resources Minimum Qualifications: Two years related work experience and word processing, spreadsheet and computing experience required. Must have excellent communication and organizational skills, the ability to work independently, in a courteous and professional manner. Preferred Qualifications: Associate's Degree and previous experience in Human Resources helpful.
