General Description of Position:
Under the direction of the Executive Director of Administration & Finance (EDA), assists with the supervision and maintenance of the college financial policies and procedures in the Business Office. Responsible for the effective and efficient operation of the Richmond Business Office, including but not limited to, purchasing, accounts receivable, asset records and grant management.
Major Responsibilities:
• Provide quality customer service and training to students, faculty and staff.
• Supervise Business Office staff.
• Support faculty and staff with purchasing and adhering to college purchasing policy.
• Responsible for all aspects of Business Office cash management including daily review of all cash receipts, cash receipt forms, ensure cash transfers in accordance with college policy and preparation of bank deposits.
• Reconciliation of all clearing accounts and bank statements.
• Attend and participate in all Business Office meetings when appropriate and submit suggestions and analysis as required.
• Coordinate all communications, interactions, and problem-solving involving student accounts and the Business Office.
• Provide counter service for Business Office operations as needed.
• Prepare reports as requested by the EDA and System Office.
• Assists in maintaining proper internal controls and ensuring compliance with college policies and procedures in the Business Office
• Assist with grant compliance, including pre-award budget review, request for fund creation and monthly reports/reconciliation of grant funds. Act as campus Grant Finance Designee and participate in all grant related meetings.
• Monitor and track project, auxiliary and grant balances and provide reports to the EDA and project managers monthly. Interact with appropriate college staff to ensure that funds are properly utilized, meeting with project managers at least quarterly.
• Ensure payroll redistributions on grant funds are linked to time and effort certifications, preparing manual certifications if necessary.
• Responsible for a timely and efficient fixed asset tracking procedure to ensure integrity of the College’s financial statements.
Minimum Qualifications:
• Bachelor degree in Accounting, Office Administration, or Business Administration, or related experience. Master’s degree, CPA or CMA preferred.
• 1-3 years previous accounting and grant experience required
• Candidate must have excellent organizational, math and computer skills; detail oriented. Must have the ability to effectively prioritize competing demands.
• Ability to analyze, interpret, and implement College policy and procedures is required.
• Strong written and verbal communication and interpersonal skills.
• Demonstrated supervisory experience.
• Ability to be proactive and take initiative when managing projects and tasks
