OFFICE ADMINISTRATOR JOB DESCRIPTION

Job Status: Full-Time, Non-Exempt

Pay Range: $11-$15/hour

Direct Supervisor: Executive Team/Executive Assistant

POSITION SUMMARY

Responsible for managing the day-to-day operations of **MEMBERS ONLY**SIGN UP NOW*** in accordance with company standards. Provides support for all members of the **MEMBERS ONLY**SIGN UP NOW*** management and consulting staff, including general office upkeep, administrative assistance, light accounting assistance, policy and procedure updates, and the occasional errand. Responsible for the reconciliation of all **MEMBERS ONLY**SIGN UP NOW*** client correspondence and inquiries. Ensures that appropriate procedures are followed throughout the operations of the company. Responsible for developing the company’s inventory management strategy with the aim of controlling costs within budgetary limits, rationalizing inventory, and assisting both consultants and principals as needed.

**MEMBERS ONLY**SIGN UP NOW*** is seeking an independent and adaptable individual with a strong sense of professionalism and an eye for detail to serve as our Office Administrator. Any person who meets the following minimum requirements is encouraged to apply:

Education

Two-year degree in business, communications, or related field.

*Candidates may substitute two years of experience in a role substantially similar to the Office Administrator for the education requirement.

Experience

Minimum one year of experience in an office environment.

Knowledge/Skills/Abilities

- Superior customer service skills - answering phones and greeting visitors in a friendly and helpful manner is always a top priority;

- Adaptable - must be comfortable with a fast pace and shifting priorities;

- Technology - proficiency in Office and Google Apps, and competence with basic office technology;

- Organization ;

- Detail-oriented ;

- Resourceful -we value the ability to do more with less;

- Self-motivated - the Office Administrator works under minimal direct supervision and is expected to identify and complete tasks without being asked;

- Cannabis knowledge - applicants should have a basic understanding of the state of the cannabis reform movement and a desire to help create a robust, responsible, and progressive cannabis industry.

CORE JOB DUTIES

Customer Service and Record-Keeping :

Welcome visitors as they enter the office. Provide exceptional service for clients, answering any questions they may have when needed;
Obtain the appropriate documentation from each client before meetings take place, including collecting payment for any scheduled consultations;
Maintain organization of desk space and waiting room through daily upkeep and light cleaning.

Budget Planning:

Work with Accounting Department to stay within budget on items needed;
Responsible for the adherence to budgetary guidelines; and
Enter all contractor and Principals hours into the Mavenlink time tracking system for billing.

Inventory Control :

Oversee the proper and timely ordering of all products, merchandise, and office supplies for the company.

Reports and Documentation:

Prepare documents as needed to assist clients, consultants, and principals;
Create weekly internal meeting agendas and keep all meeting minutes;
Ensure all client files are current in both physical and digital format;
Manage all client correspondence and track inquiries in detailed log;

Cannabis Legislative and Regulatory Information :

Maintain knowledge of all applicable state and local laws, as well as document all processes in accordance with applicability to clients and
Communicate with clients about basic cannabis business information.
