At Tetra Tech, you will work with high-performing teams who are passionate about using their expertise to find solutions to complex problems in water, environment, infrastructure, resource management, energy, and international development.   Summary:Execute the administrative function within the operating unit and its home office in Arlington, VA to support the implementation of international energy programs worldwide, to provide internal customer service to US and international employees, and to maximize operational efficiencies under the direction of the Vice President of Project and Business Services.  Position responsibilities: Operations• Execute all logistics for operating unit meetings, retreats, team, conferences, training and other team building and office events to include scheduling, online meeting setup, reviewing/editing and printing materials, travel arrangements, event meals, participant lists etc.  • Schedule, prepare minutes, track and follow-up on action items for management, operations and other applicable meetings • Coordinate with Tetra Tech’s travel agency to source and book compliant flights for employees and consultants. Provide guidance to travelers on purchasing tickets, changing itineraries, and booking hotels.• Maintain various operating unit trackers such as:  overseas field offices and international registrations information directory, staff email distribution lists, project assignments list, employee cell-phone inventory • Collaborate between Corporate and field offices to ensure appropriate documents are in place for corporate insurance, office leases, etc. • Coordinating the reporting of health, safety and security events to Corporate via an internal portal• Assist with the upkeep of operating unit’s intranet and shared drive• Issue and manage employees’ US Bank VISAs and Purchase Cards; review and follow-up on monthly past due balance • Coordinate with HR and IT to prepare work station, order equipment for new hires and current employees, collaborate with IT on cell phone plan adjustments • Assist with office equipment orders and repairs, contacting vendor to troubleshoot issues, coordinating repairs and ordering replacements and office supplies e.g. laptops, phones etc. • Manage the office seating chart and moves • Provide officers with administrative support including complex scheduling, travel, meeting preparation, and expense reports• Coordinate with Tetra Tech’s freight forwarding provider to support overseas relocations.• Coordinate with the office administrator on the mail distribution, visitor office accommodations, the whereabouts calendar, office supplies order and office equipment repairs, international couriers and visas.  Communications • Manage departmental deadline calendar and share-out regular reminders and track bid proposal due dates, major field event dates.• Draft and distribute internal communications such as all staff presentations, administrative reminders, internal updates.• Assist in the development, revision and dissemination of internal policies, procedures and guidelines and trainings to home and field office staff.• Support officers with ad hoc research and draft presentations, reports, communications, etc. on technical topics such as energy, internet connectivity and international development.• Prepare the unit’s contribution to annual sustainability report.• Provide general formatting support for MS Word and Power Point documents.• Respond to ad hoc Corporate reporting requests and coordinate unit inputs into the corporate governance structure.   ','!*!Essential KSA’s required (experience, skills, education, certification, etc.):• Must speak, read and write in English• A Bachelor’s degree (or equivalent combination of education/experience)• Minimum of 1 year’s relevant work experience• Excellent writing and communication skills.
