Moore, Corbett, Heffernan, Moeller, & Meis, L.L.P. Position Description FIRM ADMINISTRATOR GENERAL RESPONSIBILITIES
The Law Firm’s Firm Administrator is part of the executive team, responsible for the coordination and oversight of the Firm’s operational and human resource functions. The Firm Administrator works closely with the Firm’s Partners to develop best practices, policies, processes and systems to support the Firm’s delivery of effective, efficient and confidential services to its clients.
Key Responsibilities:
Hire, manage, supervise, and discipline (with consent of Management Committee) office support staff Work with the Partners to ensure that Partner staffing needs are met and allocate responsibilities to ensure maximum performance Coordinate office technology needs, including equipment. Oversee equipment maintenance Oversee document management system, document retention policy and implementation Manage office vendors and vendor relationships Organize and prepare annual health, dental, general and professional liability insurance renewals Submit timely reports and prepare presentations/proposals as assigned by Partners Establish and communicate performance goals and standards to staff and conduct periodic performance evaluations Assist attorneys with annual Continuing Legal Education (CLE) compliance Engage staff regularly through regularly scheduled staff meetings, trainings, and one-to-one coaching Assist bookkeeper with management of payroll and financial reports Organize and oversee press releases and management of Firm website and other public and social media communications Coordinate and provide input into business development programs established by the Partners Manage the Firm’s website and marketing database Prepare and submit annual reports, including bar, CLE, and trust account reports for attorneys Oversee effective billing, accounts receivable/collections, and accounts payable processes, including supervising the records of fee generation and origination Assist Partners with budgets, forecasting and financial management Assist attorneys with marketing activities Implementation of strategic initiatives approved by the Partners Take on other projects or tasks as requested by Firm Partners
Key Attributes and Skills:
Experience as Business Firm Administrator or relevant role in a CPA Firm or Law Practice Professional and effective oral and written communication skills and interpersonal abilities Excellent organizational skills Motivational and collaborative management style Familiarity with office management procedures and basic accounting principles Knowledge of standard office or practice management software including Microsoft Office (Excel, Work, PowerPoint, Outlook) Ability to assess and manage priorities within a growing and evolving practice; multi-tasking in fast-paced environment Experience in business development and marketing Keen analytical skills and ability to tackle complex situations; recommend and implement solutions Attention to detail Integrity, accountability and confidentiality Involvement in community and civic organizations
Education/Experience Requirements:
Minimum of 5 years' office management experience, preferably in legal office. Bachelor's degree.
