The Administrative Assistant for the Biomarker and Genomic Medicine (BGM) is growing her career and moving into Parexel’s APEX Program, and we are super excited for her as she continues her career journey! Now we need to find a replacement who is highly motivated, organized, proactive, detail oriented, and computer savvy to provide administrative support to this global team. If you love working with multiple leaders and providing database support, planning meetings, organizing travel, reviewing and finalizing documents, this could be the ideal role for you! The Administrative Assistant for BGM will be responsible for general administrative duties as required (e.g. organizing meetings, expense report filing, producing correspondence, ordering office supplies, etc.) and will also: Organize business trips Write meeting minutes Provide support in the preparation of presentations Develop/maintain databases and/or spreadsheets Provide support in the generation and analysis of departmental reporting Perform other administrative duties as assigned Perform the duties of primary CV Administrator ensuring compliance with internal quality procedures Liaise with Procurement and Finance regarding the acquisition of supplies and services Assist with recruiting and onboarding of new employees Contribute to the smooth running of the department and departmental activities May be responsible for maintenance of training curricula May be responsible for developing and implementing departmental procedures to help the group operate with efficiency May represent the department on cross-functional teams to help champion the needs of the department and facilitate change. Skills: Sound organizational skills: ability to prioritize workload and manage multiple, potentially conflicting deadlines with attention to detail and within agreed timelines. Ability to learn and navigate relevant systems and applications. Excellent Microsoft Office skills Excellent interpersonal, verbal, and written communication skills Shows commitment to high-quality work. Self-motivated with a willingness to accept responsibility and challenges Flexible ‘can do attitude’ to problem-solving and with respect to work assignments and new learning Ability to remain calm under pressure. Willingness to work in a matrix environment with global stakeholders. Ability to motivate and influence in a matrix environment Values the importance of teamwork Knowledge and Experience: 2 years previous administrative related experience in a corporate setting Experience working in an international environment is a plus.
