The Administrative Assistant is a self-starter who is
proactive, flexible, and
is an excellent multi-tasker to serve in a support role for Clinical Affairs global leadership team.
The candidate should have excellent verbal and written communication skills and be able to organize their work using Microsoft Office tools and office equipment.
This role serves as the primary point of contact for all internal and external stakeholders on all matters pertaining to the Product Group Clinical Affairs team, including the Chief Clinical Officer, the KOL (Key Opinion Leader) Governance Center of Excellence and the ELearning Center of Excellence. The administrative assistant must have excellent interpersonal, organization and follow-up skills with the ability to handle multiple assignments simultaneously and possess a high level of integrity, as this position will be exposed to confidential and sensitive information.
Interact daily and act as liaison with all levels of management and administrative staff.
Handle all administrative support for the assigned Clinical Affairs Leaders and their teams which includes, but not limited to: managing their calendars, travel and meeting planning, written communication, ordering supplies, filing, etc.
Coordinate extensive travel and expense reporting, including flights, hotels, ground transportation, meeting arrangements as well as related activities (passport, visas, etc.)
Project management responsibilities such as planning, coordinating and utilizing internal resources, and ensuring timely delivery
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
Handling of confidential data and materials
Performs other duties as assigned or as may be necessary
Associates or Bachelor’s degree preferred
Type of Experience:
Strong written and verbal communication skills, as well as strong organization skills required
Excellent time management skills
Proficient in Microsoft Office tools such as Outlook, Word, Excel, and PowerPoint
Ability to learn new tools quickly
High degree of confidentiality
